To cancel, please call Penny and Nicole on +44 (0)7891 830 375 to let us know you're cancelling. We need to know of any cancellation in advance and each package has a specific notice period which is listed below and within the Cancellation Policy. This applies to both parties Assistants From a Distance and the Client.

Our cancellation policy requires a 2 week in advance notice.

Your information is stored on secure servers as recommended by our insurance company. Please let us know if you'd like more information regarding how we store your documents and data. Schedule a Zoom call with us, where we can share our screens with you to walk you through the platform we use and show you how your documents and data will be stored securely.

Whether we're dealing with your CRM system, mailing list or even booking you a hospital appointment, we're dealing with your personal data. Executive Assistants are "Data Controllers" and "Data Processors" according to the GDPR.

Given the high probability that we'll be working with your colleagues in both the UK and EU, we comply with both the EU GDPR and UK GDPR laws, which is why we mention these in our contracts.

Assistants From a Distance is a member of the ICO (Information Commissioner's Office) by law.

To comply with UK and EU GDPR, we ensure the following:

1. All the personal data obtained is gathered with the explicit permission of the individual(s) involved.

2. We are transparent about what data we hold - you can request to access this data at any time or request that we no longer hold it.

3. We only keep personal data for as long as it meets its purpose.

4. We store all data as securely as possible.

5. You can request your data anytime by emailing either penny@assistantsfromadistance.com or nicole@assistantsfromadistance.com

Our commitment to GDPR is the LAW, which is why we have it written into our contracts, website privacy policy, data processing agreement, non disclosure agreements and insurance.

Just let us know! We're here to support you and your business, so if you need to add or reduce the hours, just let us know as soon as you can. This must not be confused with the cancellation policy, whereby to reduce your hours to zero is the same as cancelling.

For out of hours work, unless otherwise agreed with all parties and contracted, our hours are 9AM-5PM Monday to Friday. Any work done outside of these hours will be:

1 hour minimum charge (for example, if 10mins work is done on a Saturday, you will be charged the full hours rate + the extra out of hours charge)

Pre agreed in writing

Charged at the rete you are contracted (either £25/hour or £30/hour) plus an additional £20/hour.

We will not commence any out of hours work without the explicit confirmation of our clients of the increased rate.

VAT as applicable.

Unless otherwise agreed with all parties and contracted, our hours are 9AM-5PM Monday to Friday. Any work done outside of these hours at both weekends and weekdays will be:

1 hour minimum charge (for example, if 10mins work is done on a Saturday, you will be charged the full hours rate + the extra out of hours charge)
